Terms & Conditions
These terms explain how CampusKaro works with your institute, how account and institute records are handled, and what each side is responsible for. Please review them with the Privacy Policy before registering.
The institute controls the records and users it adds. CampusKaro operates the workspace and provides support and safeguards. Both sides must use the service responsibly and meet their own legal duties.

About the service
CampusKaro provides an online workspace for schools and coaching institutes. Depending on the plan and enabled features, the platform can support registration and admissions, student records, academic sessions, classes and batches, fee plans, collections, receipts, teacher records and salary payments, reports, reminders, institute settings and subscription administration.
These Terms apply to the CampusKaro website, dashboard, APIs, support and related services that link to them. By registering, accepting these Terms or using a workspace, the institute and its authorised representative agree to them. The Privacy Policy explains how personal information is handled. Product features can vary by institute type, plan and configuration.
Registration and eligibility
The person registering must be an adult with authority to act for the school, coaching institute or other organisation. Registration information must be complete and accurate, including institute identity, address, owner/admin name, email and phone number. Contact verification and an approval review may be required before access is activated; submission does not guarantee approval.
Keep registration and billing details current. Do not impersonate another person or institute, submit contact details without authority, or create accounts to evade a suspension. CampusKaro may request additional information needed to verify an application, secure an account or meet a legal obligation.
Workspace users and permissions
The institute owner is responsible for choosing authorised users and assigning suitable roles, such as owner or accountant, where available. Each user must use their own credentials. The owner should review access regularly, remove accounts promptly when access is no longer needed, and protect passwords, one-time codes and recovery links.
Actions performed through an authorised account are treated as institute instructions unless the institute reports compromise promptly. CampusKaro may rely on role and permission settings configured by the institute. The institute must not give credentials to students, guardians or other people who are not approved workspace users.
Institute data and privacy
Institute data may include student and guardian details, admission and academic records, attendance where enabled, teacher/staff information, fees, payments, receipts, reports, notes, uploaded documents and account activity. The institute retains its rights in the records it submits and is responsible for their accuracy, lawful collection and internal use.
The institute authorises CampusKaro to host, organise, back up, display and otherwise process those records as needed to provide, maintain, secure and support the features the institute uses. CampusKaro does not acquire ownership of student or guardian records and does not sell identifiable student/guardian data. Depending on the activity, the institute may determine the purpose of processing while CampusKaro provides the service; CampusKaro may separately handle account, billing, security and support information for its own operations. Each party remains responsible for duties that apply to its role under law and contract.
The institute must not upload data it is not authorised to provide. See the Privacy Policy for categories, use, sharing, retention and requests.
Student and children’s information
Schools and coaching institutes may use the platform for students under 18. The institute must provide appropriate privacy information to students, parents/guardians and staff and obtain any permission required for its use of their records. Enter only information reasonably needed for institute administration and keep access restricted to staff with a legitimate role.
CampusKaro uses student and guardian information to deliver the institute’s selected workflows. We do not use student or guardian records for behavioural advertising, sell them to data brokers or use them to build unrelated marketing profiles. An institute must promptly correct inaccurate information and respond to requests about records it controls, with our assistance where appropriate.
Phone numbers and communications
The owner/admin phone number is used for verification, account access, security, billing and service notices. Providing a phone number or accepting these Terms does not, by itself, amount to consent for CampusKaro advertising.
An authorised institute user may use an enabled feature to send a relevant fee reminder or institute notice to a parent/guardian. The institute selects the recipient, determines the message purpose and must have authority to send it. It must check the number, use only necessary details, respect objections and preferences, and avoid repeated, misleading or unrelated messages. CampusKaro parent/guardian contact lists are not a marketing list for CampusKaro’s own promotions.
CampusKaro may send optional offers to an owner/admin only through a separate marketing choice where applicable; that choice must be voluntary, recorded and withdrawable. Promotional calls or messages must also use compliant sender channels and follow applicable telecom requirements, templates and preferences. Service messages and promotional messages are treated separately.
Fees, payments and receipts
The institute is responsible for configuring fee plans and for checking student, guardian, teacher and salary details, amounts, dates, payment methods, references and notes entered by its authorised users. CampusKaro provides calculation, ledger, report and receipt tools based on those entries; it does not independently verify every cash, bank or UPI transaction recorded by an institute.
A receipt generated by CampusKaro confirms that a transaction was recorded in the workspace with the details shown on that receipt. It is not a bank settlement confirmation or proof that a payment provider transferred funds. The institute must reconcile recorded collections and salary payments with its own source records, correct errors through authorised workflows, and retain any supporting evidence it needs. Questions about an institute-recorded payment should first be raised with that institute.
CampusKaro subscription payments are separate from student fees collected by the institute. Where a payment provider is used for a subscription, its payment terms also apply to that transaction.
Plans, trials and renewals
A trial, if offered, has the duration and limits shown at registration or in the workspace. A trial does not promise ongoing free access. Before checkout, review the selected capacity, plan, billing period, total amount, applicable taxes, start/end dates, included features and renewal/expiry terms.
A recurring charge or renewal applies only where the checkout clearly describes it and the purchaser selects or confirms it. The institute can review its subscription status and payment history in the subscription area. Capacity changes may affect the price or the next billing period as shown before confirmation.
Cancellation, expiry, refunds, failed payments and access after a plan ends follow the checkout terms and the published Refund Policy, subject to applicable law. Keep payment confirmations and contact support about a charge or plan status that appears incorrect. Nothing in these Terms removes mandatory consumer rights.
Your institute’s responsibilities
The institute is responsible for the instructions, content and records submitted by its users; accuracy of reports that depend on those records; internal decisions based on reports; and lawful use of student, guardian, staff and teacher information. It must provide necessary notices, obtain required authority or permission, manage user roles and promptly correct material errors.
Use CampusKaro only for lawful institute operations. Do not access another institute’s records, misuse contact details, send communications without authority, upload unlawful or infringing material, interfere with security, scrape or reverse-engineer the service, bypass limits, or use the platform to harass, deceive or discriminate. Report suspected account compromise, data exposure or significant product errors promptly.
CampusKaro’s responsibilities
CampusKaro will take reasonable steps to operate the service, maintain access controls, protect information with safeguards appropriate to the service, provide support through published channels, investigate reported platform issues and use service providers for defined operational needs. If a legal requirement applies to an incident or request, CampusKaro will handle its part under that requirement.
We may use providers for infrastructure, databases, storage, backups, email, communications, payments, security and support as described in the Privacy Policy. We seek to limit provider access and information to what the enabled service requires. No online service can guarantee zero risk; this does not remove CampusKaro’s own responsibilities for processing it controls or performs.
Security and incident handling
Both sides have a role in protecting information. CampusKaro operates platform safeguards and access controls; the institute protects credentials, devices, staff access and the accuracy of its instructions. Each side should notify the other promptly when it becomes aware of a security incident that may affect the other’s accounts or data, and cooperate reasonably on investigation, containment and required notices.
Do not send passwords, one-time passcodes or full payment credentials to support. CampusKaro will not ask for a user’s plaintext password. Security measures reduce risk but cannot guarantee that unauthorised access, outages or data loss will never occur.
Availability, changes and support
We aim for dependable access but do not promise uninterrupted or error-free service. Planned maintenance, emergency updates, connectivity problems, third-party outages or events outside reasonable control may temporarily affect features. We may modify or retire a feature as the product develops; where a material change affects a paid feature, we will provide notice where practicable and required.
Support can help with account, configuration and product issues, but cannot independently validate the institute’s underlying student, fee, salary or payment records. Keep copies of records your institute must retain. Export and deletion tools depend on available features, account status and lawful retention duties.
Ownership and platform licence
CampusKaro and its licensors retain rights in the software, visual design, documentation, marks and platform technology. While the account is active and in good standing, the institute receives a limited, non-exclusive, non-transferable right to use the service for its own authorised operations. This right does not permit resale, sublicensing, copying or creation of a competing service from the platform.
The institute retains its rights in submitted data and grants CampusKaro only the permission needed to host and process it for the service, security, support and legal obligations described in these Terms and the Privacy Policy. No provision transfers student or guardian records to CampusKaro as a commercial data asset.
Suspension, closure and data export
The institute may request account closure through support, subject to its plan and legal retention obligations. CampusKaro may restrict, suspend or close an account for serious misuse, security risk, unpaid amounts, breach of these Terms or legal requirements. Where practical, we will explain the reason and allow a reasonable opportunity to resolve it; urgent security or legal cases may require immediate action.
On closure, workspace access may stop. Data export, deletion and retention follow the Privacy Policy, applicable agreement and law. Financial, tax, security and audit records may need to be retained for a required period. Deleted information may remain temporarily in protected backups until those backups expire through the ordinary cycle.
Liability and dispute handling
Each party remains responsible for its own actions, commitments and legal duties. To the extent permitted by law, each party is responsible for direct loss caused by its breach of these Terms, negligence or wilful misconduct. The institute remains responsible for decisions made from records or reports based on information it entered; CampusKaro remains responsible for its own service operation and processing obligations.
Neither party excludes liability, protection or a remedy that cannot legally be excluded. Before starting formal proceedings, the parties should contact one another through the support/contact details and try to resolve the issue in good faith. This does not prevent either party from seeking urgent relief or using a statutory remedy.
Updates, governing law and provider details
We may update these Terms when the product, business or law changes. The current version and effective date will be published here; material changes will be notified where required. Continued use after a notified effective date is subject to the updated Terms, except where applicable law requires another form of acceptance.
These Terms are governed by Indian law, subject to mandatory protections and the jurisdiction rules that apply to the parties. CampusKaro is the product name and website brand; the brand alone does not confirm that a company has been incorporated. The responsible legal person or entity must be identified in the registration confirmation, order and invoice before payment. Questions: info@campuskaro.in. You can also use our contact page.
